Book a Meeting Room

As a Science student, you are entitled to book the meeting rooms of the Abdul Lahda Science Student Centre for your own personal use (studying, group work, meetings)

Please observe the following policies when making a booking:

  • A group (not each member of a group) may book a room for up to 2 hours per day, 3 times a week, up to 2 weeks in advance.
  • Rooms are only available during regular Abdul Ladha Science Student Centre hours.
  • Users must clean tables using provided sanitizer at the end of their booking.
  • Groups that are more than 10 minutes late forfeit their booking.
  • Try to reduce noise as much as possible to avoid disturbing users of other meeting rooms.
  • Booking times are ultimately the property of the Science Undergraduate Society (SUS) and are subject to cancellation or pre-emption without warning.
  • Users are responsible for keeping track of who is using the space during their booking.

Book the ALSSC

The Abdul Ladha Science Student Centre (ALSSC) exists as a social space to encourage both informal and organized academic, club, and social activities and interactions for those students enrolled in the Faculty of Science at the University of British Columbia Vancouver. Please see below for details on how to make a booking, and what amenities are available in the building. While science groups receive priority, anyone can book ALSSC for their event needs.

Building booking requests must be made 3 weeks in advance. For events that serve alcohol, requests must be submitted at least 6 weeks before the event.

  1. Check out the floor plans and building amenities at https://sus.ubc.ca/alssc to determine if ALSSC will be a suitable venue for your event. 
  2. Check the building calendar below to ensure the date and time you would like to book is available.
    • Due to the high volume of requests, you may not receive a response if your desired date is already taken. Please check the calendar for available times before making a booking request.
  3. Fill out the booking request form below.
    • Building booking requests must be made at least 3 weeks in advance. For events that serve alcohol, requests must be submitted at least 6 weeks before the event. 
    • The booking time includes setup and cleanup as managed by your organization.
  4. Once you receive a confirmation email, sign and return the attached forms, and pay any fees required.

2 All front porch bookings include access to tables and a tent.

3 Any repairs for damages caused during bookings for SUS groups will be funded through a budget deduction from the offending group.

4 Ancillary Fees may apply:

  • After 8pm on weekdays: add $25/hour
  • Weekends: add $35/hour
  • All weekend bookings will be charged for a minimum of 2 hours rental.

Building bookings are on a first-come first-serve basis, but in the case that two groups want to book for the same day the following priority list will be used:

  1. SUS Groups and Clubs
  2. Science Organizations and Science Clubs
  3. UBC Organizations
  4. External Organizations
  • SUS Groups are internal groups in SUS, such as the Wellness Working Group or the First Year Council. SUS Clubs are departmental and non-departmental clubs supported by SUS. For a complete list of SUS Clubs, see https://sus.ubc.ca/clubs/
  • Science Organizations and Science Clubs are those groups which are not supported directly by SUS, but are of interest to students in the Faculty of Science (including, but not limited to SCI Team, Science Peer Academic Coaches, UBC Cancer Association).
  • A UBC Organization is a body who either has an address on the University Endowment Lands, or is affiliated in some way with UBC (including, but not limited to Regent College, UBC VP Students’ Office, groups from other UBC campuses).

After filling out the booking request form, you should receive an email from the Building Manager of Bookings (bmanager.bookings@sus.ubc.ca) within 2-3 business days. This email will contain an invoice, the booking contract, and any other required forms for your event. You will be given due dates for payment and the time in which forms need to be signed and sent back. Please pay attention to the dates accordingly, otherwise your booking may be compromised.

  • Are event participants required to show proof of vaccination?
    • As indicated by the provincial government, proof of vaccination requirements depend on the number of participants at an event. After submitting a booking request, your confirmation email will indicate whether proof of vaccination will be required for your event participants. Please see https://www2.gov.bc.ca/gov/content/covid-19/vaccine/proof/businesses for more information on proof of vaccination.
  • What is the maximum capacity for events?
    • Events can have no more than 133 attendees, including event organizers.
  • How do I know if the date I want is available?
    • Please refer to the event calendar above
  • Do you have to be a UBC student to book the building?
    • The building is available for booking by anyone. However, the building is financed by all science students at UBC, so science organizations will receive a discount. See the booking fees above for details.
  • Is food allowed in the building?
    • Yes, but please make sure to clean up after the event.
  • Is external catering allowed?
    • Yes, but please make sure to clean up after the event. You will need to provide the contact information of your caterer in the booking request form.
  • Is alcohol allowed in the building?
    • Yes, but further approval is required. Events that serve alcohol must be booked at least 6 weeks in advance.
  • Is security required?
    • For alcoholic events only, we require a minimum of 2 security guards. Security must be provided by the group making the booking; SUS will not provide security for any events. Please make sure to have all forms and security ready at least 2 weeks prior to your event.
